Google Calendar Synchronization using Zapier

To sync Coworkify's calendar with Google Calendar you will need to set up an integration between two web apps using Zapier. Follow the below instruction for how to do so.

 

1) Access our app on Zapier

Open this link with your web browser to access our app on Zapier.

 

2) Accept invite

You will see the page like below. Click "Login to Accept Invite" button at the bottom.

3) Login or create new account

If you already have a Zapier account, login with your existing account. If you don't have one, you may create new account by clicking "Signup Now!" link at the bottom.

To create new account, enter your email address, first name, last name, and password. Click "Create Your New Zapier Account" button when you are done.

 

4) Create new Zap

A Zap is a blueprint for a task you want to do over and over. In words, a Zap looks like this: "When I get a new thing in A, do this other thing in B."

Now you need to make a new Zap by clicking "Make a Zap" button as below.

5) Set up a Trigger

On the next screen, go to the Trigger section and click "Choose App..." pulldown menu and type "coworkify" like below. When you see the Coworkify icon, click it.

Then click "Choose Trigger". You will see a list of triggers available in Coworkify app. Select "New Booking" item from the menu and then click "Save + Continue".

6) Choose a Coworkify Account

Click "Choose Account", and then choose "Connect Account to connect into your Coworkify account.

After this, it will direct you to another webpage to log into your Coworkify account and enter the API Auth Token by clicking through the link on the page.

And, as the Coworkify Account is added, click "Save + Continue to proceed to next step.

7) Copy and paste the webhook URL

The webhook is an unique URL generated by Zapier where we send data whenever there is new booking made in Coworkify's calendar. Copy the webook URL displayed in the text box as below.

Now log into Coworkify and go to Settings > Integration page. Paste the webhook URL into the text box right next to Google Calendar. Click "Save" button when you are done.

 

8) Set up an Action

Next, Click first "Add a Step" to go to the Action section. Click "Choose App" and type "google calendar" in the text box, and select Google Calendar icon.

Then click "Choose Action..." and select "Create Detailed Event" item from the menu.

Click "Save + Continue" button at the bottom when you are done.

 

9) Connect a Google Calendar

Now click "Connect an Account" and input the email address of the Google Calendar you want to connect. After, you will see a page like this.

Next give an unique name to this account such as "My Google Calendar account."

Click "Save + Continue" when you are done.

10) Set up a calendar

Now click the pulldown menu under 'Calendar' and you will see a list of calendars associated with your Google account. Select one from the list.

Next enter the following text into each field.

Summary field:
{{summary}}

Description field:
{{description}}

Start Date & Time field:
{{start_date}}

End Date & Time field:
{{end_date}}

If you correctly entered these texts, then each text will be converted into orange labels like this.

 

Click the "Continue" button when you are done.

 

11) Test the integration

A. Coworkify Account

Now log into Coworkify and go to Booking page. Create a couple of bookings in the calendar.

 

Once you finish creating these bookings, go back to Zapier page and click "Test this Step" button under Trigger section.

Then you will see few samples to test with. Select any of the sample and Click "Continue" button.

B. Google Calendar

Proceed to the Action section and click "Test this Step" button. Then, this will show you the sample created detailed event for your Google calendar.

Then, click "Send Test to Google Calendar" at the bottom of this page.

You will know that it is a success if you see the orange colored icon under Trigger and Action section. It means the integration is working properly now.

12) Activate a Zap

Finally,  click "Toggle Off" to Turn On your Zap.

On Dashboard page please make sure your Zap is turned on.

That's it. From now on, whenever there is new booking made in the Coworkify's booking calendar, it will appear in your Google Calendar.

 

You can embed your Google Calendar into your website to make it public, or just keep it to yourself as along with other calendar that you manage.

Synchronizing Coworkify's calendar with Google Calendar makes it much easier for you as the space admin to get a grasp of what's going on in your coworking space.
